Overview

QuickCloseChat is a private preview for businesses using Chatwoot-based customer support. This policy explains what we collect from business owners who apply for or operate a workspace and from customer conversations handled inside a tenant's Chatwoot workspace. It applies to lab.quickclosechat.com, lab-chat.quickclosechat.com and related QuickCloseChat admin surfaces.

Information we collect

Account identity. Name, email address, and profile image received through Google sign-in. We do not receive or store your Google password.

Business and workspace data. Business name, workspace slug, public business page content, channels, skills, Playbooks, policies, integrations, and owner configuration.

Customer conversation data. Messages, contact details, labels, status, and metadata that flow through a tenant's Chatwoot workspace when QuickClose AI reads a conversation or executes an approved action.

Business Knowledge. Owner-provided sources, uploaded files, public business page content, generated chunks, embeddings, retrieval evidence, and preview or evaluation results.

Operational evidence. Webhook delivery records, action proposals, policy decisions, execution receipts, reconciliation evidence, and error logs needed for audit and recovery.

How we use information

  • Verify owners and provision tenant-scoped Chatwoot resources.
  • Operate QuickClose AI, including planning, validation, execution, handoff, and recovery.
  • Retrieve Business Knowledge so the agent can answer from owner-approved context.
  • Provide owner dashboards, public business pages, membership tools, growth reports, and support widgets.
  • Investigate failures, prevent cross-tenant leakage, maintain audit trails, and improve reliability.

AI processing and providers

Depending on tenant configuration and platform features, relevant conversation, contact, Business Knowledge, and workspace context may be sent to model or embedding providers such as OpenAI or Anthropic to produce a proposed action, answer, classification, retrieval vector, or summary. QuickCloseChat rechecks action authority before final execution through official Chatwoot APIs.

Sharing

We do not sell personal data. We share data only with infrastructure needed to run the service: Chatwoot, hosting and database providers, Google sign-in, configured AI providers, email or messaging providers, and connected business systems selected by the tenant. We may disclose information if required by law or to protect the platform and its users.

Retention

We keep workspace, audit, and execution evidence while a workspace is active and for a limited period after archival so operators can investigate failures, replay safe deliveries, and resolve disputes. Conversation retention inside Chatwoot is controlled by the tenant's Chatwoot workspace and connected channels.

Your choices and deletion

Owners may request access, correction, export, workspace archival, or deletion by contacting us. Customers who contacted a tenant through a support channel should send privacy requests to that business first because the tenant controls the underlying customer relationship. Security

Workspaces are tenant-scoped, owner surfaces require authentication, inbound webhooks are authenticated, and secrets remain server-side. No system is perfectly secure; report suspected issues to the contact below.

We may update this policy as the preview evolves. The date above changes when material updates are published.
